Since copiers are a critical part of your office equipment and are used frequently, minor issues with them can be common. Understanding what causes these problems can help you fix them or know when to call a professional. Below are a few reasons you may have trouble using your office’s copier.

What Issues Often Occur With Office Copiers?

1. Paper Jams

Most often, paper jams occur when the paper isn’t put correctly in the machine or is the wrong size, causing it to crunch up or be pulled into the machine crookedly. The particles and tiny pieces that paper can sometimes leave behind in the machine can also cause jams, as they can coat the rollers and cause the paper to be pulled unevenly or not at all.

If a jam happens, pull out the paper that caused it, being careful not to rip it, and check that it’s the right size. While the paper is out, wipe the rollers and feed tray with a dry cloth, then vacuum out the tray area and inside the copier to remove dust.

2. Streaks & Spots On Paper

Lines, specks, or discolorations on your copies are usually caused by dirty glass and mirrors. First, clean the area where you put the paper you want to copy. Use a microfiber cloth and a small amount of water or glass cleaner to wipe it down, then try again.

If there are still abnormal spots, it could be a problem with the drum or the drum blades, which will need to be replaced.

3. Cartridge or Toner Issues

Problems with ink cartridges or toner can cause inconsistencies in colors, error messages, or ruined prints. Sometimes the cartridge is low and needs to be replaced, but other times, problems will be caused by a faulty product. If it’s a new cartridge or toner refill, check that it’s the right kind for your machine and that it’s installed correctly before assuming the product is a dud.

4. Prints Are Too Faded or Black

If your copies come out so light they’re barely legible or are completely black, it could be because the brightness or density settings in the machine have been changed. Follow instructions in your user manual to go into the settings and change them back to default.

If problems still occur, consider replacing the toner or ink cartridge. The drum will usually need to be replaced if this doesn't correct the issue.
