When you work in an office, having a functional printer is critical to daily operations. Whether it's an invoice, contract, memo, or policy, you need a printer for it. However, because it's used so often, it's not uncommon for problems to pop up. While some can be solved in-house, others require the expert hand of a printer repair specialist. Here are some of them.

A Guide to Typical Printer Problems

1. Paper Jam

Usually, paper jams occur when the paper isn't loaded correctly. The stack should be flush with the edges of the tray and not overflowing. However, if the paper is correctly loaded, then there may be an issue with the rollers.

These are the components that pull the sheets from the tray through the printer. This happens with overuse, especially if you only have one printer in the office. It can also occur when the rollers have been mishandled and damaged. When this happens, you'll need a printer repair technician to install a new set of rollers.

2. Will Not Print

If your printer is on and properly loaded with paper and ink, but nothing's happening, there could be a few culprits. First, there may be a problem with the WiFi, Ethernet, or direct connection; if your printer can't connect to a computer or the network, nothing will load to the printing queue. If that link is fine, then it may be an issue with a driver.

The driver is a type of programming that enables compatibility between your computer and printer; it essentially helps them understand each other. However, if you have the right one downloaded and installed, there could be something wrong with a mechanical component. There could also be a software issue. In either case, a printer repair technician can help narrow it down further.

3. Slow Printing

When the printing itself is too slow, that's generally linked to either high-quality settings or WiFi printers situated too far from the router. In regards to the first, always make sure employees know which settings to use for certain documents. For example, text-only documents don't need to be set to photo-quality printing with every color. As for the second, try moving the printer closer to the computers. Alternatively, you can get a WiFi extender for them, which will broaden the signal range.
